POSITION SUMMARY:

The primary function/purpose of this job.

Assists Parks Superintendent with day-to-day operations of the Parks & Recreation Department sports leagues, including participant registration, scheduling games, tournaments, support staff, and ordering/tracking concession supplies.  Assists with the research and creation of new programs.  Coordinates special recreational programs and sport camps to supplement leagues. Assists with the day-to-day operations of the Sports Parks, Parks, Pool, and Splash Pad.  Attends meetings and prepares reports.

 

 

JOB RESPONSIBILITIES:

Assists with day-to-day operations for Sports Park, Sports Leagues, Recreational Sports.

·         Create registration forms and distributes/promotes on city website, social media outlets, press releases and direct mail.

·         Maintain accurate records of participant information and ensure that proper paperwork is on file and fees are submitted by appropriate deadlines.

·         Assign teams, coaches, and solicit sponsors.

·         Research and implement new league and tournament programs upon approval of the Director.

Manage operations of team, games and leagues.

  • Order uniforms and equipment; distribute to teams, and ensure all equipment is returned in good condition.
  • Inventory sport equipment to ensure adequate numbers are available for teams and assess need to repair or replace.
  • Maintain knowledge of current rules and communicate with ASA and IHSA officials to ensure adherence to said rules.
  • Provide training to employees as needed to ensure all employees have knowledge of current sports league rules, City and Department policies.
  • Receive complaints and protests from coaches, parents, and spectators and ensure proper solutions are made.
  • Assist with research and creation of new programs.

Supervise games, leagues, fields, and gyms schedules

·         Schedule games for all leagues, including all youth and adult softball, basketball, volleyball, and tennis leagues and lessons.

·         Regularly conducts on-site reviews of league games, tournaments, and programs to ensure events are running properly.

·         Coordinate with outside organizations requesting field rentals.

·         Handle all rain outs and cancellations and relay information to staff, teams, and coaches.

·         Schedule special programs, including Challenger Baseball and sport camps.

·         Coordinate with grounds keeping staff to ensure that playing fields are properly maintained.

 

Manage the day-to-day operations of the Outdoor Pool and Splash Pad

·         Oversees the onsite supervisor for lifeguards, shuttle driver and concessions staff.

  • Monitors the pool, equipment, outside patio, locker rooms, concession stand, patrons, and staff in order to maintain a safe environment.
  • Assists in the opening and/or closing responsibilities of the pool as needed with each shift including cleaning and setup/teardown of facilities.

·         Performs cash balancing of the reception cash drawer and the concessions cash drawer when needed.

  • Fills out and submits all necessary reporting paperwork for each shift, including attendance records, accident reports, chlorine readings, and maintenance schedules.
  • Assists lifeguards with responding to incidents involving patrons and employees.
  • Attends CPO certification class and maintains compliance.

 

Manage concession stand operations.

·         Ensure a clean and safe environment and maintain required food safety certifications through the Madison County Health Department.

·         Schedule concession worker shifts.

·         Train employees on safe food preparation, cleaning procedures, and the operation of cash register and sales deposits.

·          Monitor supplies and place orders to ensure proper inventories.

·         Attends the Food Handler Manager class and BASSET training and maintains compliance.

 

 

Hire employees and manage schedules.

  • Interviews and make recommendations on qualified applicants.
  • Ensure that all support staff are in place for each event. 
  • Training needs for employees.

 

Assumes other responsibilities as apparent or assigned.

 

QUALIFICATIONS:

Minimum requirements to competently perform the key responsibilities of this job in terms of educational background, work experience, licenses/certifications, physical requirements and other knowledge, skills, and abilities.

  • High School Diploma or GED required; Preferred Bachelor’s degree in Sports Management or Recreational field
  • Preferred 2 years of experience or training in the field of recreational league/sports programming.
  • Must possess a valid driver’s license.
  • Must be able to work evenings and weekends when sports leagues and other events are scheduled; expected to be on-call to respond to emergencies during recreational league games.  The schedule may change depending on the season.
  • Demonstrated PC skills required; proficiency in Microsoft Word, Excel, PowerPoint, and Publisher, as well as Google platforms.
  • Flawless attention to detail and excellent organizational skills

  • Demonstrated commitment to customer service and exceptional follow-through; ability to interact effectively with the public and other City employees in person or via telephone.
  • Ability to communicate at all levels, internally and externally
  • Good use of the English language – speaking, reading comprehension, spelling, grammar, and punctuation
  • Ability to prioritize and work independently
  • Ability to use the Internet as a research tool
  • Ability to operate required office equipment
  • Ability to walk, stand, or sit for an hour or more at a time
  • Must have the ability to work in extreme summer weather conditions.
  • Ability to lift or carry objects weighing up to 50 pounds.
